My client is seeking a highly organised and proactive Personal Assistant (PA) / Executive Assistant (EA) to support the School Business Manager with constantly changing priorities across multiple sites, including their partnership school. The ideal candidate will have exceptional organisational skills, the ability to handle confidential information, and the initiative to work to very tight deadlines while juggling multiple priorities.

Key Responsibilities:

  • Provide comprehensive administrative support to the School Business Manager, ensuring all tasks are completed efficiently and to a high standard.
  • Handle and prioritise the School Business Manager's correspondence, emails, and phone calls.
  • Manage the School Business Manager’s calendar, schedule appointments, and coordinate meetings.
  • Prepare and organise documents, reports, and presentations for meetings.
  • Arrange travel, accommodation, and itineraries as required.
  • Assist in the preparation and tracking of budgets and expenses.
  • Maintain and update confidential files and records with strict confidentiality.
  • Coordinate events, conferences, and training sessions as needed.
  • Perform general administrative duties, such as filing, photocopying, and office supplies management.
  • Act as a liaison between the School Business Manager and other staff, external partners, and stakeholders.
  • Support the School Business Manager in managing multiple priorities and deadlines across different sites.
  • Ensure smooth communication and coordination between the School Business Manager and the partnership school.
  • Use initiative to anticipate the School Business Manager's needs and provide proactive support.
  • Assist with ad-hoc projects and tasks as required.

Person Specification:

  • Proven experience as a PA, EA, or similar role
  • Strong organisational and time management skills with the ability to multitask and prioritise effectively.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • High level of initiative and proactive approach to work.
  • Ability to work to very tight deadlines and adapt to changing priorities.
  • Flexibility to work across multiple sites and adjust to varying schedules.
  • Strong attention to detail and problem-solving skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Hours: Monday to Friday, flexible hours (core hours 8:00am - 4:00pm, term time or full time with flexibility, e.g., term time + 10 days)
