This is a fantastic opportunity to help support the Senior Partner at this prestigious firm as the Personal Assistant.The successful candidate will be a self-motivated and 'switched on’ individual, with some previous professional experience.You must be able to take responsibility and work on your own initiative as well as have a flexible approach.Experience in the investment, legal or finance sector will also be helpful as would the ability to manage some day-to-day office management. You will have strong attention to detail, an ability to multi-task and the capacity to quickly grasp complex issues are essential.This is an exciting opportunity for an ambitious individual who can adapt their working style quickly depending on the environment and circumstances.Job Purpose

Specific Tasks/Responsibilities

  • Developing and assisting the Senior Partner to develop prospective clients and professional connections/business introducers
  • Arranging and administering events (for example, organising agendas, labels, invitations, letter/e-mails of confirmations, venue, refreshments, etc)
  • Maintaining and updating the Senior Partner’s diary including booking meetings and lunches
  • Coordinating incoming e-mails and correspondence, drafting letters and e-mails and creating mail merges
  • Screening phone calls, enquiries and requests and handling them, as appropriate
  • Taking calls from clients, following up action points from meetings and managing clients’ birthdays (ordering gifts and cards)
  • Making travel arrangements/booking accommodation, completing Senior Partner’s expenses and CPD records, ensuring filing is up to date and undertaking personal tasks, as necessary, including arranging meetings, booking meeting rooms, setting up and cleaning the room as required
  • Email/ Inbox management
  • Diary management
  • Drafting nuanced documents such as letters and emails, reports, agendas and minutes
  • Co-ordinating external relationships with stakeholders, consultants and advisors
  • Updating contacts and databases
  • Managing the flow of documents and information to external consultants and the in-house team
  • Taking meeting minutes, drafting agendas and following-up on actions arising from meetings
