As Project and Office Administrator you will provide support to the project teams and Operations Manager to ensure the smooth running of projects and the office. This is a fantastic opportunity to take on a varied role, and really make it your own.They are looking for someone to work four days a week - Tuesday to Friday - based in their offices in the Shoreditch/Old Street area. Key Responsibilities

  • Support project managers with a wide range of administrative duties including preparing and maintaining action logs as well as project and contract administration tasks
  • Update and maintain central project records
  • Log and upload project documentation onto relevant project file share systems
  • Support the project managers to ensure project appointments are in place, filed and tracked centrally.
  • Prepare and maintain project directories.
  • Assist with client invoicing and updating project cash-flows.
  • Support the Quality and Training Managers
  • Manage electronic and manual filing
  • Arrange project team travel, accommodation and catering when required.
  • Ensure the CRM system is kept up to date.
  • Ensure the office environment is always well presented, clean and tidy including management of desk hardware and inventory.
  • Management of office meeting rooms
  • Be first point of contact for clients and visitors to the office, ensuring a bright and warm welcome to all visitors, and offering refreshments for meetings.
  • Order catering for internal and external meetings
  • Manage office consumables, including stationery and kitchen supplies
  • Assist with recruitment and onboarding
  • Assist with events
  • Production of social media content including copywriting and imagery
  • To assist in the preparation of marketing materials including bids, capability statements, proposals and presentations; using Adobe In Design proficiently when required.

Skills and Experience

  • Prior experience in a similar role, ideally within the architecture, design or construction industry
  • Knowledge of InDesign and document management systems would be an advantage
  • Strong organisational skills
  • Ability to work with people at all levels
  • Excellent communication, both written and verbal
