An amazing and exciting job opportunity has arisen to work for a leading player in the events and hospitality industry.

This is an admin rolw with a difference where you will have full responsibility for up to 200 staff in helping in dealing with their logistics.

Please only apply if you are willing to travel quite a lot all over Europe and England. - approx 8 weeks a year.

Key duties will include the following:

  • Booking Accommodation
  • Travel arrangements for all staff, including itinerary planning and coordination
  • Liaising with staff prior to the events to confirm schedules and requirements
  • Managing check-in and check-out processes on-site
  • Traveling to events to oversee logistics and ensure smooth execution
  • Collecting all staff data prior to the event, including passport details, emergency contacts, and special requirements
  • Booking airport transfers and coordinating pickup/drop-off times
  • Booking vehicles and managing rental agreements, insurance, and fuel arrangements
  • Creating carnets and ensuring accurate documentation for international travel
  • Arranging visas, tracking application progress, and handling any issues
  • Arranging work permits and ensuring compliance with local regulations
  • Managing travel insurance for all staff and handling claims if necessary
  • Ensuring compliance with company travel policies and budget constraints
  • Handling last-minute travel changes and troubleshooting unexpected issues
  • Organising vaccinations or medical requirements for international travel
  • Liaising with event organizers and suppliers for on-site logistics
  • Maintaining accurate records of travel expenses and processing reimbursements
  • Assisting with securing event passes and credentials for staff
  • Providing 24/7 support for traveling staff in case of emergencies

This role will suit a young and ambitious person who loves people and to travel. When not travelling, it will be an office based role 5 days a week from 9am-5:30pm.
