Bid Coordinator Role:

We are looking for a bright and enthusiastic individual to join our dynamic Bid Central Team.

The successful candidate will ultimately be responsible for providing support and creative input relating to tenders, within agreed targets and timescales, to a high-quality standard.

You will have flair, you will take pride in what you do and you must be able to hit the ground running, whilst having fun!


Primary Responsibility:

The successful candidate will provide a wide range of support to the team which includes: reviewing the daily tender alert notifications and managing distribution of relevant bids to the correct members of staff for bid decision; completing SQs, RFIs and other requests, while contributing to ITT responses and other submissions. A further important role will be to maintain the bid library and information systems on SharePoint while delivering ad-hoc marketing support.

We are looking for someone with the following:

At least 3 years experience as a Bid Coordinator preferably within the Construction Industry

Strong organisational and project management skills

Strong communication skills ability to engage with colleagues and senior staff

Understands the importance of design and adherence to branding guidelines

Good attention to detail, ensuring all tasks are completed within pre-agreed deadlines

Ability to respond flexibly to short notice tasks

Excellent organisation skills and ability to prioritise

Experience of fast pace, high volume/production activity where accuracy and quality are critical

Good eye for design - preference

Ability to use wide variety of design and basic IT packages


Key responsibilities:

Empowered to follow bid standards and guidelines

Contributes to the total effectiveness of the business, communicating openly, solving problems proactively, offering creative ideas and working as a positive and engaged team member

Considers external communications within the larger context of the brand at all times and ensures that all messages are constantly reinforcing larger strategic objectives

Serves as ambassador for best practice bid management, giving advice to colleagues and policing document quality


Bid Preparation responsibilities:

Submit Expressions of Interest

Complete and submit SQs and RFIs

Developing bid plan with Bid Manager/Project Director

Sourcing bid information and text from previous submissions and bid library (bid advisor)

Reviewing client bid submission instructions, ensuring that the work undertaken by the bid team complies with client guidelines

Amending and updating ITT response documents as directed by the bid manager or Project Director

Designing, formatting and production of all bid submissions in line with company style and brand guidelines

Arranging the delivery of bid documents to potential clients

Supporting the team with ad-hoc requests

Ensuring the company bid process is adhered to in all activities undertaken

Monitoring assessment and updating of bid plans to ensure that key milestones and deadlines are met

Attending bid launch meetings, ensuring details of all actions are recorded and distributed

Researching key information related to the bid as directed by the Bid Manager

Devising and producing graphics and templates for use with each bid

Setting up and coordinating diaries on behalf of the Bid Team

Producing meeting requests and agendas throughout the bid lifecycle

Building and maintaining distribution lists for bids

Setting up and administering the electronic bid folder, supporting with version control on SharePoint

Managing all components of the bid library, providing regular updates to the Bid Manager

Updated Bid tracker with current bids win/lost status

Updating a list of our current frameworks
