Job Title: Executive Assistant- Maternity CoverLocation: Shoreditch Office & WFH

My client is looking for a highly organised Executive Assistant to provide comprehensive support to the CEO and Senior Management Team (SMT) for a maternity cover. The successful candidate will manage a range of tasks to ensure the efficient operation of the SMT and CEO. This key role requires excellent communication skills, meticulous attention to detail, and the ability to juggle multiple priorities in a fast-paced environment. As an Executive Assistant, you will be responsible for diary management, meeting preparation, correspondence, project coordination, and ensuring the smooth day-to-day operations of the senior leadership team. You'll be involved in everything from scheduling meetings to preparing documents and reports, as well as acting as a key point of contact for both internal and external stakeholders.

Key Responsibilities:

  • Provide high-level administrative support to the CEO and SMT, managing calendars, scheduling meetings, and organising travel.
  • Prepare meeting agendas, reports, presentations, and briefing documents.
  • Organise and attend board meetings, team meetings, and strategic sessions, taking and distributing minutes.
  • Act as a liaison between the CEO, SMT, and internal/external stakeholders, ensuring smooth communication.
  • Handle confidential matters with discretion, maintaining confidentiality at all times.
  • Arrange all business travel, including flights, accommodation, and transport, ensuring adherence to company travel policies.
  • Update and create financial reporting charts as required.
  • Organise external staff training sessions and track professional memberships.
  • Support the recruitment, onboarding, and documentation process for freelancers.
  • Provide ad hoc administrative support as directed by the CEO and SMT, ensuring tasks are completed efficiently and effectively.
  • Attend offsite meetings with the CEO and SMT, as required.

Essential Qualifications & Experience:

  • Minimum of three year's experience working as an Executive Assistant, supporting senior leadership teams.
  • Excellent organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills.
  • Proven ability in preparing clear, concise meeting minutes, including board-level minutes.
  • Ability to handle confidential information with the utmost discretion.
