- Coordinate and manage CEO’s calendar, including both internal and external meetings and liaise with senior stakeholders across international time zones
- Arrange complex domestic and international travel including passport renewals, visa applications and detailed itineraries
- Receive and filter telephone communications, screening calls for the CEO to ensure her time is protected
- Arrange overseas offsites from start to finish and attending in-person twice a year
- Prepare expense reports, compliance documentation and ensure sensitive deadlines are met
- Take the lead on projects and research as and when needed
- Carry out the administrative management of mail
- Help with the management of expense reports and reimbursements
- Provide assistance as needed to front desk operations / receptionist as needed (answering phones, accepting package and other deliveries, lunchtime relief, and greeting and signing in visitors/guests)
- Experience of supporting at C-Suite level, within financial services is required, alongside working in high pressure environments requiring tact, judgement and discretion
- Experience of managing diaries for C-Suite, with meetings across international time-zones and frequent last minute changes and shifts in priority
- Perfect English communication skills, both written and verbal
- Education to degree level is preferred
- Ability to apply common sense to carry out duties and manage sensitive issues quickly, delicately and professionally
- High proficiency with Microsoft Office applications such as Microsoft Outlook, Word, Excel, and PowerPoint
