Role Overview:

proAV are a leading global audio visual integrator, providing AV and event services across multiple client partnerships globally.

Our immediate requirement is for an experienced AV Operations Coordinator to be a key part of our London team, representing proAV and working onsite, taking full responsibility for looking after the day-to-day administration, onboarding, invoicing, and billing.

One of many openings available at proAV (who have over 500 team members globally), this position is based within our end user’s organisation who continue to invest in state-of-the-art technologies, services, and training.

This is an exciting opportunity for an exceptional, experienced AV Operations Coordinator to join an established operation with scope to drive and enhance the service at every opportunity.

Experience and seniority of the position will be reflected by the remuneration and benefits package.

Key Responsibilities:

Scheduling:

  • Assisting Operations Team build the weekly Rota
  • VCCM intake – taking information from VCCM (customer facing booking form), scheduling Zoom webinars, creating EMS entries (support reservations), and sending confirmations.

 

Resource:

  • Onboarding: Onboarding of badged (CW) resources
  • Permit Vetting: Permit Vetting (PV) resources
  • ePermits: Tracking PV resources and status on ePermit
  • Checking overtime forms for correct recharging
  • Requesting and scheduling additional resources

Invoicing:

  • Quotes and cost centre confirmation
  • Ariba orders

Billing:

  • Cost-centre reconciliation
  • Checking validity of cost centres for EMS recharging
  • Checking international cost centres each month and updating EMS where there is an alternative UK cost centre
  • Manual invoicing process ownership
  • Chasing up and escalating aged debt
  • Collecting and sending all information necessary for Monthly Billing

General:

  • Requesting quotes for travel and confirming cost centres
  • Arranging purchase orders for suppliers
  • Collecting/validating engineers expenses following international travel
  • Travel
