We are seeking a dynamic and motivated Practice Manager to join our team. The Practice Manager is a vital member of both our Management Team and Client Services Team, playing a pivotal role in ensuring exceptional client satisfaction and the smooth, productive, and efficient day-to-day operations of our clinic.

Key Responsibilities:

Client Services and Customer Experience

  • Act as the primary point of contact for client service activities, delivering first-class customer service at all times.
  • Ensure professional, empathetic, and proactive interactions with clients, prospective clients, referrers, and third parties.
  • Diagnose and resolve customer service issues promptly in collaboration with senior management.

Operational Management

  • Maintain clinic facilities, equipment, and supplies to the highest standards.
  • Proactively address facility-related issues that may impact client satisfaction.
  • Oversee stock ordering and inventory control, ensuring cost efficiency and quality.
  • Support business continuity during emergencies or major incidents.
  • Assist with in-clinic events and team celebrations.

Team Leadership and Development

  • Lead the Client Services Team (CST) by setting clear expectations and providing constructive feedback.
  • Measure, evaluate, and manage team performance, focusing on exceptional customer service, communication, diary management, and adherence to business values.
  • Collaborate with the Operations Manager to manage staffing, including setting diary hours, ensuring adequate cover, and handling payroll.
  • Identify training needs and develop tailored learning plans to build team confidence, motivation, and capabilities.

  • Contribute to the development of a supportive and values-driven clinic culture.

Qualifications and Skills:

  • 2 years minimum proven experience in practice management, or a similar leadership role.
  • Exceptional customer service and interpersonal skills.
  • Strong organizational and problem-solving abilities, with a proactive approach to challenges.
  • Experience in managing and mentoring teams, fostering growth, and building morale.
  • Familiarity with clinic operations, including diary management and administrative functions.
  • Ability to work collaboratively with clinical and management teams.
