IT AdministratorRef: AJ46243A major Japanese trading company is currently recruiting an IT Administrator to join their team in London.You will be responsible for managing and tracking daily transactions of IT services and equipment which will be sent to various customers.Business level of fluency in English and Japanese will be ideal and previous experience of using SAP for any other finance system will be preferred.

TYPE: Contract (7 months, fixed term contract) - with potential for extensionWORKING HOURS: 9:00-17:00 from Monday to FridaySALARY: up to £35k, DOE + Benefits and bonus START: ASAPLOCATION: London (Hybrid working - 2 days at the office, 3 days from home)MAIN RESPONSIBILITIES:

IT Administration

  • Prepare IT service quotations with accurate costings
  • Issue IT service contracts to customers
  • Order IT hardware, software, licences, and devices as per contracts
  • Follow customer-specific internal processes and obtain necessary approvals
  • Manage contract and service agreement renewals
  • Confirm user requests in the workflow system
  • Handle queries professionally via the ITP&P inbox

Finance Administration

  • Record purchase orders, delivery notes, and invoices in SAP
  • Obtain approvals before processing payments
  • Reconcile delivery notes with invoices
  • Process internal recharges using correct cost codes
  • Chase overdue payments
  • Prepare project cost reports for budget review
  • Manage fixed assets by liaising with accounts

General Administration

  • Organise team meetings and maintain records
  • Manage IT processes for joiners and leavers
  • Support colleagues at the annual London conference
  • Arrange accommodation for business travellers
  • Maintain department documentation and filing

IT ADMINISTRATOR IDEAL CANDIDATE:

  • Previous experience administrating many various processes with multiple users
  • The ability to analyse numbers on spreadsheets and prepare reports
  • Customer service background and can be flexible for administration work
  • Finance background - Basic bookkeeping skills such as basic GL accounting and Debit/Credit concept is essential
  • Previous experience of using SAP for any other finance system (preferred)
  • Previous experience of working for a Japanese company (preferred)
  • Bookkeeping or Accounting qualifications (preferred)
  • Fluent in written and spoken English and Japanese
  • Professional use of MS Office in particular the ability to write basic formulas in Excel and to create presentations in Power point
  • The ability to process a large amount of numerical data
  • The ability to work under pressure to deal with large volume of invoices and delivery notes
