Our elite US law firm client is seeking to hire a new Billing Specialist to join their busy Finance team in the London office. This is a fantastic opportunity to join a leading global law firm and continue building your career in legal billing.

Hybrid Working - 4 days office / 1 day remote - Standard hours 9.30am to 5.30pm

The Billing Specialist will provide billing support to all Partners in the London office, including researching billing related issues, preparing and distributing billing proformas, invoices, and billing related reports. The Billing Specialist will also manage client accounts according to the billing agreements and act as the billing advisor to Partners and ensure that all transactions are recorded according to accounting standards.

Billing Specialist Key Responsibilities:

  • Arranging, preparing for and attending monthly revenue meetings with your allocated partners, covering all aspects of time management and billing
  • Producing proformas and distributing to lawyers and Partners in accordance with Firm policy. Ensuring each proforma reflects the client arrangement terms, rates, discounts and Outside Counsel guidelines requirements
  • Producing draft invoices, finalizing invoices and credit notes, ensuring bills are prepared in accordance with client arrangements and comply with client fee terms and Outside Counsel guidelines, considering and highlighting missing time if noted on the proforma
  • Checking for available client funds that should be applied to bills and ensuring these are communicated to the Legal Cashiers
  • Ensuring WIP notes are reviewed and updated every month for all significant matters for the Managing Partner and / or Director of Finance
  • Administering time and costs transfers and write-offs.
  • Ensure finalised invoices are sent to clients within 24 hours of finalising, following up with Partner / Secretary if invoice delivery is not handled directly by the Billing team until confirmed
  • Upload ebills, ensuring processing is accurate and efficient. Working closely with the eBilling team to successfully submit invoices, to track and monitor the approval status.  Ensuring rejections are resolved within Firm policy

Billing Specialist Key Requirements:

  • Previous billing experience from a recognised law city firm
  • Good working knowledge of 3E preferred
  • Proven understanding of billing in foreign currencies and associated issues
  • Good working knowledge of the VAT regulations within the UK & Europe
