Key Responsibilities

As a Legal Secretary, you will play a pivotal role in supporting the business and ensuring the efficient operation of the firm. Your core responsibilities will include:

  • Providing administrative and secretarial support, including managing diaries, scheduling meetings, and preparing meeting materials.
  • Drafting, formatting, and proofreading correspondence and legal documents.
  • Managing and maintaining client files, both electronically and physically, ensuring accurate and organised records.
  • Acting as the first point of contact for clients, handling enquiries via phone and email professionally and promptly.
  • Organising and prioritising tasks to support the day-to-day operations of the legal team.
  • Preparing and submitting documents to relevant authorities or external parties.
  • Maintaining the case management system, ensuring all data is up-to-date and accurately recorded.
  • Supporting the team with administrative tasks such as filing, scanning, photocopying, and document retrieval.
  • Ensuring compliance with regulatory standards and firm policies in all tasks undertaken.

Key Skills and Experience Required

  • Previous experience as a Legal Secretary or in a similar administrative role within a legal or professional services environment.
  • Excellent organisational skills and the ability to manage multiple tasks and deadlines efficiently.
  • Strong written and verbal communication skills, with attention to detail in document preparation.
  • Proficiency in Microsoft Office applications (Word, Excel, and Outlook) and familiarity with case management systems.
  • A professional and approachable manner, with the ability to liaise confidently with clients and colleagues.
  • A proactive and self-motivated attitude, with the ability to work both independently and as part of a team.
  • Knowledge of legal procedures and terminology (desirable but not essential).
