We are looking for a Senior Administrator to manage the daily operations of the London office for a global, innovative law firm. This role includes training and supervising administrative staff, supporting HR functions, liaising with IT and office services, collaborating with finance, assisting with marketing and client development events, and overseeing office management.

Position Details:

  • Duration: 3 months temporary, with potential for permanent placement.

Key Responsibilities:

  • Manage diaries, meetings, expenses, and travel for partners and attorneys.
  • Coordinate events, meetings, training, webinars, and projects with Administrative Departments.
  • Assist with Partner's Billings using the Billing system 3E.
  • Provide word processing support and manage document flow.
  • Assist with office space operations, including assessment and planning.
  • Coordinate purchasing of equipment, furniture, and supplies.
  • Plan and manage office events, including setup, registration, and budget management.
  • Oversee office services such as mail, messenger, and reception/switchboard.
  • Collaborate with the US team on emergency preparedness and disaster recovery plans.
  • Train, mentor, and supervise administrative and operational support staff.
  • Coordinate with HR on hiring, onboarding, and offboarding personnel.
  • Liaise with partners, attorneys, and clients on time entries, billing, and collections.
  • Act as a point of contact for conflict checks and support records management.

Required Skills & Qualifications:

  • Minimum of 5 years of experience in an administrative role, preferably in a law firm.
  • Strong technical skills, including proficiency with Microsoft Office Suite and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to use own initiative 
  • Ability to manage multiple priorities effectively and remain calm under pressure.
  • Capable of working independently and as part of a team.
  • Discretion in handling confidential information.
