Admin Assistant

My client are a leading provider of marketing and communications in the UK. With over 30 years' experience in the direct marketing, CRM and transactional communication industries, they take great pride in providing their clients with a variety of tailored solutions and cost-effective services to improve the quality of their customer communications, streamline processes, consolidate costs and ultimately, deliver a greater return on investment.

The role:

To support the achievement of our client’s business goals by adhering to all policies and procedures applicable to your job role and area of responsibility. To be responsible for assisting Account Managers with the service delivery of client accounts. To assist with a high level of communication and a pro-active approach to daily administrative tasks, etc.

Key requirements:

  • Assist the Account Management Team with daily administrative tasks (e.g. production of Job Bags, Production Reports, Stock Reports, Postage Dockets requests, client management information spreadsheets, etc.)
  • Assist with making up and checking of Sample Enclosing Packs (SEPs) and AB Sample Packs
  • The production of stock print/reprints, etc
  • Assist the Direct Mail Team with quote / subsequent quote requests
  • Raise Time and Sequences via Scheduling Department for new enquiries
  • Raise Purchase Orders for outwork production to be approved by main Account Manager/Team Leader
  • Raise and maintain reports up to date i.e. client MI reports, Stock Reports, etc
  • Assist with Administration distribution i.e. distribution lists, Labels, etc.,
  • Assist with Online Ordering Portal (where appropriate):
  • Checking progress on estimates flagging quotes not responded to within 24 hours
  • Requesting T & S on new orders ready to be booked in
  • Ensure quotes / order;
  • Basic updates on products / prices / artwork;
  • Flagging items that show low stock on the Inventory;
  • Deal with general day to day enquiries coming through the portal;
  • Assist with gathering artwork, costs and product details for new clients;
  • Request and send out Paper Samples/Job Samples/ Files Copies and AB Samples are required
  • Ensure that all documentation is correctly completed on time and in a presentable manner
  • Participate in team meetings for production status and pre-production meetings for new projects if required.

The ideal person:

  • Good administration skills.
  • Excellent verbal and written communication skills
  • Effective listening skills
  • Good understanding of Management Information Systems, Microsoft Excel, Word and Powerpoint
  • Methodical with good attention to detail
  • Able to cope with multiple tasks at one time
  • Team player, able and willing to assist other members of their team and to contribute towards common team objectives
  • Flexible, positive attitude and able to cope under pressure
  • Understanding of responsibilities around compliance issues and safeguarding the company
  • Desirable but not essential to have a basic knowledge and practical understanding of lithographic printing & finishing, digital & laser printing, managing data and data briefs, envelope production, mailing and postal services
