Corporate Governance/Company Secretary Department Administrator£31,5000SW1 – HybridMINUTE TAKING EXPERIENCE IS ESSENTIAL FOR THIS ROLE.A fantastic opportunity for an experienced Co Sec Administrator to join an established trade representative body based in SW1.You will provide administrative support for Board and Committee meetings, taking detailed and accurate minutes.The Role:General company secretarial administration, including:
  • Maintaining the corporate calendar
  • Drafting / issuing circulars
  • Assisting with company insurance policies enquiries and renewals
  • Drafting reports and records as required
  • Leading on committee terms of reference maintenance and reviews
  • Monitoring the Company Secretariat mailbox
  • Filing statutory forms with Companies House and maintaining internal statutory registers and records
Board and Committee meeting administration, including:
  • Minuting and general secretariat support for subsidiary board meetings and other committees as required
  • Maintaining actions and planners
  • Issuing notices and invitations
  • Producing meeting packs
  • Assisting with meeting logistics including calendar planning
Wider / Legal department administration as required, including:
  • Maintaining a register of principal contracts across the group
  • Raising purchase orders and processing invoices for the department
  • Providing administrative support to the Legal Department
  • Updating CRM records
  • Responding to colleague and external communications
  • Assisting with other ad hoc duties / projects as required
Essential requirements:
  • Background in corporate governance would be ideal but not essential
  • Able to produce high quality meeting minutes and act as secretariat for a range of corporate boards
  • Educated to A-level or equivalent
  • Confident and articulate, with good communication skills and a keen eye for detail
  • Highly motivated with good interpersonal skills and ability to form excellent working relationships
  • Organised, with ability to multi-task and work under pressure to meet tight deadlines
  • Reliable, positive and enthusiastic team player with strong sense of shared objectives and goals
  • Self-starter with a pro-active approach, a strong sense of initiative and ability to work independently
  • Proficiency in MS Word, Excel, PowerPoint, Outlook and Internet
  • Flexible, and willing to get involved with ad hoc and sometimes short notice requirements
