Administrative Services Assistant - London

About the Role:

We are looking for a Administrative Services Assistant to join a leading consutlancy firm on a 6 Month Contract. This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys providing seamless administrative and facilities support.

Administrative Support:
  • Assist the Senior Administrator team and Management Group with daily tasks.

  • Expense Management: Prepare and submit expense reports.

  • Billing Support: Assist with monthly billing, including coordinating time logs, drafting cover letters, and compiling invoice packets.

  • Document & Presentation Support: Provide formatting, editing, and proofreading assistance.

  • Travel Coordination: Book travel for Principals and maintain detailed travel itineraries.

  • Client & Contact Management: Update and maintain client contacts in InterAction and assist with holiday card lists.

  • Meeting Coordination: Manage meeting logistics, including scheduling, room setup, and catering arrangements.

  • Office Support: Handle copying, binding, scanning, and materials distribution.

  • Event Planning: Assist in organizing office social events and initiatives.

Facilities Assistant:
  • Facilities Assistant Support: Act as the first point of contact for visitors when needed.

  • Office Readiness: Ensure common areas, conference rooms, and workspaces are tidy and well-maintained.

  • Stock & Supplies: Keep kitchens, printer stations, and supply cupboards well-stocked; purchase snacks and office essentials.

  • Mail & Packages: Distribute incoming mail, maintain the postage machine, and restock postage supplies.

  • Meeting Setups: Handle Zoom or video conference setups, assist with materials preparation, and coordinate catering.
