Lettings Coordinator - West London basedOur client is a prestigious boutique real estate firm based in West London, renowned for their commitment to luxury and exceptional design. With a keen eye for detail and a dedication to excellence, they specialise in connecting extraordinary and unique homes across West London and beyond with their ideal buyers.They are looking for a Lettings Administrator to join their close-knit team. Contract: Full Time | Permanent Location of work: At their stunning offices in West London.Salary: £30,000 basic during the initial probationary period, dependent on experience and qualifications. Following the probationary period, a salary increase may be applicable.Holiday allowance: 25 days holiday + bank holidays.Working Hours: Mon - Fri. 8.45am - 6pmA day in the life of a Lettings Administrator..General Office Duties:
  • Open and close the office as needed.
  • Manage the office when other staff members are out.
  • Answer phone calls promptly and direct them appropriately.
  • Support with general admin tasks for the sales, lettings, property management, and accounts teams.
  • Respond to emails in a timely manner with the upmost professionalism.
Lettings Administration:
  • Manage tenancy compliance, including certifications and right-to-rent checks.
  • Coordinate pre-tenancy arrangements such as inventories and property cleaning.
  • Advise landlords on compliance and legal matters.
  • Handle landlord queries and ensure all required documentation is collected.
  • Register deposits and maintain records of compliance certifications.
  • Update internal systems with tenancy and landlord information.
  • Process invoices and track payments related to lettings and pre-tenancy works.
Office Coordination and Team Support:
  • Act as office coordinator during busy periods or when the primary coordinator is on leave.
  • Welcome visitors and maintain a professional and tidy reception area.
  • Ensure efficient management of office deliveries, post, and keys.
  • Assist with database management and administrative tasks as required.
Property Listings and Marketing:
  • Support managers in creating property listings, brochures, and web content.
  • Manage property listings across various portals and perform regular audits.
  • Assist with marketing campaigns and liaise with external agencies.
Ideal skills and experience:
  • Meticulous
  • Strong administration experience required in a similar customer service and luxury environment.
  • Highly organised with an ability to work to deadlines and manage your own workflow.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Helpful, supportive and a friendly and warm character
  • Excellent written and verbal communication.
  • Experience working on a property CRM system is highly desired. 
  • Self-motivated with a proactive attitude.
  • Professional demeanor and presentation.
  • Property industry experience highly desired but not essential.
