We are delighted to be looking for a 9 month maternity contract PA/Office Manager to join a boutique investment banking advisory firm in the heart of Mayfair as a PA/OM.

This is a dual aspect role with a mix of 40% Office Management and 60% EA working with the Founders’ EA on both business and personal PA responsibilities.

Re office management you will solely be responsible for ensuring the office runs smoothly from managing stock levels, to dealing with any guests, recording office expenditure, managing holidays, company events and acting as the link between the office and the external IT provider.

In respect of PA duties you will work alongside the senior EA with more of a focus on the business support taking responsibility for all travel arrangements and diary management as well as assistance on private PA duties, liaising with private homes and staff to ensure all is prepped ahead of his movements.

This is a real opportunity for an individual with solid experience of office management and PA duties, ideally someone hands on and comfortable with IT so can sync laptops up as the Founder moves locations, and liaise with the office IT providers re company wide updates or issues. Someone with excellent attention to detail and a good team focussed attitude to work closely with the senior PA and ensure the Founder is fully covered. The successful candidate will initially be required to be present in the office to build relationships with the team and get a better feel for the role and organisation, however further down the line there is room for more of a hybrid working environment.

Role entails:

  • Manage all office ordering, supplies, suppliers, repairs, testing
  • Coordinate with IT provider over any updates, having weekly catch up calls and being the liaison over any issues
  • Manage all incoming visitors
  • Induct new starters, manage holidays and record office expenses
  • Work with senior EA to support Founder
  • Manage all business travel and diary arrangements for founder, booking cars, flights, hotels, restaurants with itinerary
  • Provide private PA duties; assist with managing London property
  • Coordinate with staff across different properties
  • Assist with private travel for Founder and family
  • Ad hoc tasks such as gift buying, general administration

This is a role that will suit an experienced PA/Office Manager who has strong attention to detail, excellent problem solving skills, has a pro active nature and able to foresee potential pinch points and someone happy to go the extra mile to ensure the task is completed well.

French or Italian language will be advantageous but not essential.
