Client & Team Admin Support
  • Job Type: Full-time (37.5 hours per week)

  • Reporting to: Managing Director
  • Monday- Friday, Office Based.

As a Client & Team Admin Support, you will be the backbone of our office, providing essential support to our team and creating a welcoming atmosphere for our visitors. Your role is crucial in maintaining an organized, professional environment where everyone can thrive. Imagine yourself in a role where every day brings a new challenge, from managing administrative tasks to planning office events and ensuring compliance with health and safety regulations. 

Day to Day of the Role:

  • Represent the company with a positive attitude and professional appearance.
  • Welcome visitors and team members appropriately, ensuring they sign in and are escorted as needed.
  • Handle phone calls professionally and promptly.
  • Manage daily personal admin tasks such as filing and mailbox organization.
  • Monitor and maintain office stationery and supplies, placing orders when necessary.
  • Ensure all office equipment and environment are in good working order, arranging repairs as needed.
  • Assist in scheduling meetings, booking conference rooms, and coordinating travel arrangements for staff.
  • Organize internal office events, meetings, and lunches.
  • Plan in-house or off-site activities, such as parties, celebrations, and wellbeing days.
  • Address team member queries regarding office management issues.
  • Oversee office cleanliness and liaise with third-party contract providers.
  • Ensure office compliance with health and safety regulations.
  • Work with HR to support management of Health and Safety in the office.
  • Manage first aid supplies and emergency procedures.
  • Provide ad hoc support to the Directors and assist the management team as needed.
Required Skills & Qualifications:
  • Proactive, can-do approach with excellent communication skills both in person and in writing.
  • Friendly and welcoming demeanour towards both internal and external individuals.
  • Strong organizational skills with the ability to effectively manage multiple activities and competing priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
