Are you an exceptional Administrator with outstanding organisational skills and a passion for supporting a dynamic team? We have an exciting opportunity for a Team PA to join our client's team in Aldgate, City of London. Located just 3 minutes away from Aldgate train station, this role offers a fantastic chance to work alongside the Chief Communications Officer and their team in a fast-paced and vibrant environment. Start ASAP, this is an FTC for 8 months and the salary is £32,400, hours Monday-Friday 35 hours per week, this is a hybrid working role and you will be required in the office two days a week.

As the Team PA, you will be responsible for providing essential administrative support to the CCO and Communications team. From diary management and travel arrangements to budget-related tasks, your exceptional written and verbal communication skills will be crucial in ensuring the smooth running of daily operations. You will effortlessly balance multiple priorities and work under pressure while handling a wide range of activities and confidential matters with discretion.

Key responsibilities include:

  • Maintaining and updating the CCO's diary/calendar
  • Coordinating meeting requests promptly and efficiently
  • Organising internal and external events, ensuring adequate arrangements are made
  • Managing emails on behalf of the CCO
  • Booking travel and accommodation for the CCO
  • Ensuring meetings are well-planned and administered, with accurate minutes and agreed action points

In addition to providing vital support to the CCO, you will also play a crucial role in supporting the wider Communications team. This includes performing budget management activities, improving and maintaining filing systems, booking travel and accommodation for team members, and assisting the Business Manager with organising team events and social activities. Your strong organisational skills, attention to detail, and ability to build relationships will contribute to the overall success of the team.

Requirements:

  • Strong administration and organisational skills
  • Excellent interpersonal skills
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft applications
  • Prior experience in executive diary management, events, or office management would be beneficial
