As an Assistant Facilities Manager, you will play a vital role in designing, developing, and implementing facilities processes while ensuring compliance with Health, Safety, Security, and Environmental (HSSE) standards. You will manage and analyse facilities activities, leading the Statutory Compliance tracker for London sites and overseeing key roles such as First Aiders and Fire Wardens. Acting as the main contact for London facilities expenditures, you will handle supplier setup, purchase orders, and financial tracking. You will provide support in team administration and manage the outsourced facilities provider. Additionally, your project management skills will be essential for overseeing small to mid-sized projects, and you will collaborate on the meeting room booking system. This full-time position is based in London (2 days per week), offering a daily rate of 215.00 - 235.00 for a duration of three months.

As an Assistant Facilities Manager, you will need to have/be:

  • Strong ability to prioritise diverse deliverables and meet deadlines.
  • Capable of managing change within a matrix structure outside of direct management control.
  • Proficient in project management for small to mid-sized projects.
  • Skilled in creating and reviewing facilities processes, considering cross-departmental interactions (e.g., IT, HR).
  • Confident in addressing facilities-related issues with staff, contractors, and visitors.
  • Excellent customer service skills, balancing conflicting demands.
  • Competent in analysing raw data to support informed decision-making.
  • Expertise in operational Facilities Management (IWFM membership or equivalent experience).
  • Proficient in procurement and contract management, with experience in NEC3 contracts.
  • Understanding of facilities budgets, accounts payable, and financial planning (e.g., accruals).
  • Knowledge of Health and Safety legislation for the built environment (NEBOSH or IOSH certification).
  • Experience in delivering facilities services in a corporate setting, including managing outsourced FM providers.
  • Hands-on experience with accommodation projects, including office relocations.
  • Familiarity with financial accounting systems, payment processes, invoicing, and reconciliations.

Details:

  • Rate: 215.00 - 235.00 per day (umbrella/inside IR35)
  • Working Hours: Full time Monday - Friday

Role of Assistant Facilities Manager:

  • Contribute to designing, developing, and implementing facilities processes and procedures, ensuring alignment with Health, Safety, Security, and Environmental (HSSE) standards.
  • Manage and analyse facilities activities and HSSE efforts, leading the completion of the Statutory Compliance tracker for London locations.
  • Oversee key voluntary roles (e.g., First Aiders, Fire Wardens) to ensure legal and regulatory compliance.
  • Serve as the main contact for London-related facilities expenditures, managing supplier setup, purchase orders, financial tracking, and monthly accruals.
  • Provide coverage during the absence of the London Facilities Manager and Birmingham Assistant Facilities Manager.
  • Assist the Facilities Manager with team administration, workload management, and roster planning.
  • Support the Facilities Manager in overseeing the outsourced facilities provider and key suppliers.
  • Collaborate with the Birmingham Assistant Facilities Manager to manage the meeting room booking system.
