My client, a leading Worldwide Property Management company are recruiting for an experienced Assistant Facilities Operations Manager to join their prestigious team based in an Trophy building in the City close to Leadenhall.

The ideal candidate will have a background in Facilities Management and have worked for either a Property Maintenance company or a Service Provider where you will have managed Soft Services including Reception, Service Desk, Administration, Cleaning and Security services for a large Multi Tenanted Building. You must be extremely client facing and be prepared to go the extra mile to ensure that everything runs smoothly and to an impeccably high standard.

Main Duties
  • Maintain Positive Working relationships with Occupier contracts and the property Management Team to ensure a professional approach.
  • Management of Service Desk, Cleaning, Administration and Security Services for the Building
  • Ensuring a consistent, High Quality service to all the Occupiers and Tenants in the Building in accordance with Lease Obligations
  • Oversee the Service Desk facility ensuring and ensure issues are dealt with accordingly and matters are reported
  • Purchase Orders Managment
  • Conduct Monthly and Weekly 1-1 staff Meetings
  • Engaging with Operational Teams to ensure everything is running smoothly
  • Plan and chair Contractor Performance reviews and Tenant one to one meetings
  • Lead by example and provide an operational service that is relevant and benefitting the occupiers, visitors and all other users of the property.
  • Build relationships and understand the tenants needs
  • Review of Expenditure against forecasts and budget reports
  • Annual Fire drill coordinating
  • Support the company's strategies regarding the property
  • Lead and Manage Small Works
  • Sign off contractor invoices
  • Carry out regular inspections to ernsure standards are maintained bu the whole team
  • Always ensure that the front of house services are of the highest order
  • Course bookings for staff members
  • Step up in the Operations Managers Absence and ensure everything is managed
  • Supervise and Motivate the Operations team to always ensure the best results.
  • Support and engage in the growth and development of the company
  • Monitor and Reconcile Service Charge Budget Lines and discuss with the Operations Manager
  • Support the effective administration of contracts and purchase orders and PPMS
  • Maintain and report records of expenditure and spending commitments.
