Our client is a fantastic, family run, boutique legal firm seeking an experienced Personal Assistant (PA) to provide day-to-day support to our managing partner and a junior partner.
The successful candidate will maintain effective communication with the managing partner, organise their diary, manage appointments and commitments, and liaise directly with clients and professionals on their behalf. Additionally, they will assist with diary management and booking appointments for the junior partner.
Key Responsibilities:
- Diary management and answering internal diary-related queries
- Collating and recording monthly expenses
- Liaising with clients and professionals to arrange calls, video conferences, in-person meetings, and restaurant reservations
- Booking meeting rooms internally and externally
- Liaising with new prospects, including:
- Taking initial information over the phone
- Booking initial calls with solicitors
- Sending forms to clients
- Sending client onboarding emails and engagement letters
- Managing the mediation process, including:
- Booking intake and joint sessions
- Sending mediation process emails
- Sending onboarding documents, LEGL links for AML checks, and payment on account
- Sending summary emails
- Sending out invoices
- Membership renewal
- Scheduling meetings with mediation coaches
- Scheduling coaching and training sessions and providing necessary documentation
- Drafting covering emails and sending letters and emails on behalf of the partners
- Electronically signing COFA forms, contracts, and documentation on behalf of the partners
- Assisting with the preparation for and scheduling of Resolution drafting committee meetings
- Assisting with the scheduling and organising of national and regional Resolution committees
- Assisting with the organisation of hosted events
Qualifications:
- At least three years of personal assistant experience to a partner or director in a corporate/ professional services organisation.
- Excellent organisational and time-management skills
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite and other relevant software
- Ability to work independently and as part of a team
