I have partnered with a Global Tech business in supporting them with the recruitment of an Executive Assistant & Office Manager who plays a pivotal role ensuring high level administrative support to the CEO while ensuring seamless office operations in a fast-paced and diverse company. You will be Proactive, tech-savvy, a self-starter and adaptable, with excellent problem-solving skills and has the ability to manage multiple priorities in a fast-growing company. This role is crucial to fostering a positive work environment, driving operational efficiency, and enabling leadership to focus on strategic initiatives.

Key Responsibilities will include:

  • Manage and optimise the CEO's calendar, prioritising meetings, travel, and strategic initiatives.
  • Prepare reports, presentations, and briefing materials for executive meetings.
  • Act as the primary point of contact between the CEO and internal teams, clients, and other
  • stakeholders.
  • Attend key meetings, take notes, track action items, and ensure follow-ups are completed.
  • Coordinate and manage international travel arrangements for UK staff, including booking flights
  • and hotels.
  • Assist with expense reporting and financial documentation.
  • Handle confidential and sensitive information with the highest level of professionalism.
  • Assist in drafting internal and external communications on behalf of the CEO.
  • Administer daily office operations, ensuring a smooth and productive work environment.
  • Manage relationships with vendors, IT support, and building facilities teams.
  • Ensure the office is well-stocked with necessary supplies, equipment, and amenities.
  • Plan and execute company-wide meetings, team events, and employee engagement initiatives.
  • Implement office policies, procedures, and best practices to optimise efficiency.
  • Responsible for overseeing all office health and safety matters, including conducting risk
  • assessments, managing office equipment safety, and ensuring electrical compliance.

Candidate Specification:

  • 10+ years of experience as an Executive Assistant to a CEO or C-level executive, ideally in a
  • software or tech company.
  • Strong knowledge of office operations and administrative best practices.
  • Proficiency in Microsoft Office Suite, Slack, or other collaboration tools.
  • Experience coordinating with IT teams for office tech setups and system access.
  • Excellent communication, problem-solving, and multitasking skills.
  • Ability to work independently, anticipate needs, and adapt to a fast-paced, high-growth environment.
