This role is integral to the smooth operation of my clients facilities team, ensuring that all aspects of building management, hospitality, and administrative support are conducted efficiently. This position offers the opportunity to work in a dynamic environment, contributing to the firm's operations and development.

Day-to-day of the role:
  • Ensure effective operation of the firm’s outsourced switchboard function, including maintaining backend systems with updated details of starters and leavers, handling enquiries, and ensuring service levels meet the firm’s standards.
  • Prepare and clear meeting rooms, set up refreshments/lunches, and organise catering for meetings and events.
  • Maintain tea/coffee stations, including coffee machine upkeep and restocking supplies.
  • Provide reception cover, greet and welcome guests, and handle deliveries.
  • Book travel and accommodations through my client's travel agent, assist with travel booking processes, and ensure smooth coordination.
  • Monitor the office environment, report maintenance and security issues, and adhere to health and safety procedures.
  • Coordinate oral proceeding bookings and manage the DSE assessment process.
  • Travel to the Cambridge office as part of a fortnightly rota to ensure facilities presence.
Skills & Qualifications:
  • Experience in a similar role such as Facilities Assistant, covering front of house, booking travel, or similar.
  • Excellent customer service skills and professional attitude.
  • Good IT skills; familiarity with office equipment (training provided where necessary).
  • Strong written and verbal communication skills.
  • Ability to work effectively as part of a team and maintain close working relationships.
  • Excellent organisational, multitasking, and time-management skills.
  • Good food hygiene knowledge (training provided where necessary).
