Key Responsibilities:

  • Office Operations Management: Help oversee the day-to-day operations of the office, ensuring a clean, organised, and functional workspace.
  • Administrative Support: Manage correspondence, incoming calls, emails, and enquiries, providing high-quality customer service to clients and stakeholders.
  • Team Support: Assist estate and letting agents and the sales team with administrative tasks, including document preparation, database management, and scheduling appointments.
  • Compliance and Record-Keeping: Ensure that all paperwork, client files, and property listings are properly filed, maintained, and in compliance with regulatory requirements.
  • Property Listings: Maintain and update property listings on various platforms, including the agency’s website and external property portals.
  • Scheduling and Coordination: Organise meetings, appointments, property viewings, and inspections for clients and the sales team.
  • Supplier Management: Coordinate with external suppliers and service providers, ensuring timely procurement of office supplies and services.
  • Financial Admin: Assist in basic financial tasks, including invoicing, and working closely with the accounting team to track expenses.
  • Marketing Support: Work alongside the marketing team to create and manage promotional materials, social media posts, and client newsletters.
  • Technology Management: Ensure office equipment (phones, printers, computers) are functioning properly and liaise with IT support for any technical issues.
  • Client Experience: Greet clients in the office and provide an exceptional customer service experience, ensuring they feel welcomed and assisted.

Key Skills & Qualifications:

  • Proven Experience: Minimum 4 years of experience as an Office Manager or in a similar administrative role, preferably within real estate or property management.
  • Organisational Skills: Excellent organisational skills with the ability to multitask and prioritise workload efficiently.
  • Communication Skills: Strong verbal and written communication skills with a professional and courteous manner.
  • Attention to Detail: High attention to detail, particularly in document preparation and record-keeping.
  • Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using property management software is a plus.
  • Problem-Solving Ability: A proactive approach to problem-solving and the ability to handle unexpected challenges with professionalism.

Preferred Qualifications:

  • Experience within the real estate industry is a necessity, preferably in a management position

  • Basic knowledge of financial administration.
