We are seeking a talented Office Coordinator to maintain a well-organised and efficient office environment for our innovative organisation. Located in Hammersmith and Fulham, London, our office is just a 10-minute walk from White City train station, making it easily accessible! ??????????

Position Overview:As the Office Coordinator, you will play a crucial role in ensuring smooth office operations. Your responsibilities will include managing supplies, coordinating meetings, overseeing policies, and handling supplier relations to support organisational efficiency and compliance.

Key Responsibilities:

  • Manage office supplies, ensuring all team members have the essentials for success ??�?
  • Prepare meeting rooms for a variety of discussions, from company meetings to investor talks
  • Handle diary management for the executive team ??
  • Prepare documentation for our data room
  • Optimise HiBob, managing flows, tasks, and policies
  • Support the creation of an employee hub in SharePoint
  • Take accurate minutes during meetings and share them with the team ??
  • Document and regularly review internal policies
  • Assist the Head of People and Talent with pre-onboarding duties
  • Welcome new team members, ensuring they are set up for success from day one �?
  • Use data from onboarding and engagement surveys to enhance employee satisfaction
  • Manage communications with third parties and escalate issues as needed
  • Send NDAs and contracts while maintaining organised records in SharePoint

Experience and Qualifications:

  • Previous experience in an office coordinator role
  • Strong organisational skills with attention to detail
  • Proficient in MS Office Suite ??
  • Highly motivated with the ability to work independently
  • Excellent oral and written communication skills
  • Comfortable working in a fast-paced environment
  • Outstanding interpersonal skills to thrive in a team setting
