What You'll Do:

As the Reception & Office Support Specialist, you will play a pivotal role in creating a welcoming atmosphere and supporting various office functions. Your responsibilities will include:

Reception Duties:

  • Greet and assist visitors, clients, and team members with a warm, professional smile.
  • Manage incoming calls and direct inquiries to the right staff members.
  • Coordinate visitor access and uphold security protocols.
  • Handle incoming and outgoing mail, deliveries, and courier services.

Facilities Management:

  • Collaborate with the Office Manager to maintain a clean, safe, and efficient office environment.
  • Identify and implement improvements to enhance office processes.
  • Negotiate with suppliers for the best deals on office supplies and services.
  • Oversee cleaning and security teams to ensure high standards are met.

Meeting and Event Coordination:

  • Prepare and set up meeting rooms, ensuring they are equipped with necessary technology and refreshments.
  • Assist in scheduling and organising internal meetings and events for seamless logistics.

Administrative Support:

  • Provide administrative assistance to senior staff, including travel arrangements and document preparation.
  • Manage invoices, expenses, and office inventory to keep everything running smoothly.

Liaison with Suppliers:

  • Build strong relationships with vendors and suppliers for office services.
  • Monitor service delivery, troubleshoot any issues, and ensure timely communication.

Team and Office Coordination:

  • Serve as the go-to person for office-related queries, fostering a collaborative atmosphere.
  • Ensure all office systems and equipment are functioning efficiently.
