Pentagram Design is seeking a Gallery Assistant and Archivist, you'll play a key role in organising and managing gallery exhibitions, coordinating events, and supporting the Partners with various administrative tasks related to the Gallery. You will also play a key role in the organisation and administration of our archive. This position will offer you the chance to contribute creatively, with an interest in graphic design being a necessity.

The ideal candidate will have an appreciation for all things graphic design, strong organisation skills, be happy getting involved in the day to day and be able to handle multiple tasks within a fast paced environment.

 

Gallery Event Coordination:

Support the planning and execution of gallery events, including exhibitions, openings, talks, workshops, and private functions.

Assist with logistics, such as arranging catering, coordinating with vendors, and preparing event materials.

Ensure smooth event operations, managing guest lists, event signage, and liaising with external partners.

Work closely with the lead Partner to develop creative ideas for events that align with the gallery's vision and goals.

Managing the diary of exhibitions.

Provide on-site support during events, ensuring everything runs according to schedule. This will include on average one evening event a month.

 

Gallery Operations:

Assist with the general maintenance and organisation of the gallery space, ensuring it is always presentable and prepared for visitors.

Support visitor engagement by offering information about current exhibitions, design work and upcoming events.

Provide administrative support to the Lead Partner and curatorial team, including correspondence, booking appointments, guest list management and maintaining records.

Help with the coordination of exhibitions including installation and de-installation.

Collaborate with communications teams to promote gallery events and exhibitions.

Manage any social media accounts associated with the gallery.

Managing contracts and agreements for exhibitors and vendors.

General reception duties of the shared reception space.

 

Archive Management:

Support the organisation and consolidation of the archive, ensuring all archive items are logged and stored correctly. 

Oversee the upkeep and organisation of the studios archive, ensuring that all items are catalogued and properly stored.

Manage the digital archive, ensuring accurate records of work and events are maintained.

Assist with research and retrieval of archive materials for exhibitions, press, and educational purposes.

Regularly update inventory of work and related documentation.

Assist in facilitating access to archived materials for authorised personnel ensuring an efficient and robust process for future archive needs. 

 

What are we looking for?

Strong planning and organisational skills, with meticulous attention to detail and the ability to handle multiple tasks simultaneously.

Event planning and management experience.

Knowledge of design and the design industry and prior experience in a creative gallery environment is preferred.

Experience managing projects and delivering work on time, successfully meeting deadlines within a project-based environment.

Excellent interpersonal skills with proficient written and verbal communication skills.

Experience working with multiple stakeholders on complex projects

An eye to detail and a proactive approach to problem solving

Basic knowledge of archival practices including digital archive management

Ability to work independently, whilst under pressure and remain calm during busy periods

Knowledge of database management.

Knowledge of collection storage standards ensuring the safe and secure handling of items. 

Flexibility to work on average 1 evening a month for events

 

What We Offer:

Monday - Thursday 24 - 30 hours per week £32,000 - £40,000 per annum (FTE £50,000 for 37.5 hours a week)
