Our client, a highly esteemed luxury retailer known for its exceptional products and commitment to sustainability, is seeking a talented Buying Admin Assistant to join their dynamic team!As the Buying Admin Assistant, you will be the backbone of the Buying Team, playing a crucial role in facilitating daily operations. Your responsibilities will include:
Senior Buying Team Support:
- Coordinate global travel arrangements and itineraries, for Buying Managers when required.
- Work closely with the internal travel team to arrange flights, accommodation, taxi's etc. for Senior Management ensuring this is in line with seasonal budgets.
- Organise and coordinate all show tickets for the full Retail team during show seasons throughout February and September (London, Paris, Milan and New York).
- Set up meeting rooms ensuring appropriate equipment is available.
- Greet external guests, taking care of their needs whilst in the office.
- Organise team events, group meetings and training sessions; liaising with external and internal departments to ensure location and space is appropriate along with correct equipment.
- Be the primary contact for the Buying departments for all enquiries, assistance and guidance.
- Support the Buying Managers & Buying team with day-to-day ad-hoc requests.
- Collate information required for Buy appointments (vendor packs etc.).
- Maintain team structure and brand lists.
- Be flexible for occasional out of hours availability is required, particularly when the team is travelling for business and during the seasonal fashion shows.
- Provide communication packs to key stakeholders (team heads and execs).
- Be included in some confidential projects with the Senior team.
Buying Editor Support:
- Support the Buying Editor in being the go-between between buying, editorial and marketing, ensuring the seasonal buy and key messages are comprehensively covered across all marketing and editorial channels.
- Support on in-market trend round ups and seasonal overviews to ensure a strong communication of relevant key trends and seasonal brand focuses.
- Post-market collaboration with the Buying Editor on the compilation and delivery of the Seasonal Handbook to all marketing teams which includes but is not limited to trend presentations, top investments for the season and on-site live links.
- Run buy reports for use throughout the business.
- Support with fashion shoot boards for the Marketing team for campaigns, seasonal shoots and brand moments ensuring it reflects the buying teams highlights and investments.
- Support with collating PID lists across the Buying Team to share with relevant channels for Trade support.
- Work in tandem with Merchandising to track deliveries for upcoming launches which are being supported with marketing.
To thrive in this role, you should possess the following skills:Understanding of the fashion industry or prior experience in luxury goods.Previous experience in an administrative capacity, ideally with a commercial focus.Advanced knowledge of MS Office, particularly Excel, PowerPoint, and Word.Stellar writing abilities and articulate communication skills.Exceptional organisational abilities, coupled with common sense and proactivity.A friendly demeanour with a great sense of humour and personal style!If you are passionate about fashion and possess excellent organisational skills, we would love to see your application!
