Our Client is looking for an experienced Estate Manager for a residential site in South-west London. This is a temporary contract. This is a private estate comprising of 228 flats within fourteen houses. Established in the 1930s, the estate boasts a rich history, expansive gardens and a welcoming community atmosphere.

The Estate Manager plays a vital role in preserving this legacy by reporting to the Board and collaborating closely with the Managing Agent. This position involves the effective management of maintenance, gardens, company assets, cleaning, security, heating, utilities, health and safety and incident response. As a key representative of the estate, the Estate Manager fosters positive relationships with residents, staff and external contractors to ensure the smooth and efficient operation of the estate.

Key Responsibilities

Leadership and Staff Management

  • Oversee a team of 10 staff including Estate Office personnel, porters and

gardeners.

  • Conduct staff performance appraisals, set objectives and identify training

opportunities to enhance team effectiveness.

  • Ensure smooth day-to-day operations and maintain a positive working

environment.

Estate Maintenance and Operations

  • Supervise the overall upkeep of the estate ensuring all buildings and communal

areas are well-maintained and clean.

  • Maximise rental income from storage facilities and garages.
  • Ensure the safe and efficient operation of all equipment and systems on-site.
  • Manage minor repairs and coordinate with approved contractors for more

significant work.

  • Enforce lease terms and estate regulations addressing minor breaches and

escalating major issues to the Managing Agent.

  • Oversee parking management and resolve resident concerns such as damp and

leaks promptly.

  1. Leaseholder / Resident Relations
  • Serve as the primary point of contact for leaseholders / residents on operational

matters.

  • Facilitate effective communication with leaseholders/residents regarding estate

updates and daily operations.

  • Collect and act upon feedback from leaseholders/residents ensuring a high

standard of service.

Contractor and Supplier Management

  • Act as the Client Representative with the Contract Administrator in ensuring that

Contractors comply with the works contract, estate policies and health and

safety standards.

  • Collaborate with the Managing Agent and Board to monitor contract

performance and manage budgets.

Budgeting and Procurement

  • Develop and manage the annual maintenance schedule and budget for

communal areas and gardens in partnership with the Managing Agent and

Board.

  • Administer procurement processes ensuring three competitive quotes for works

exceeding £2,000 and maintaining accurate records.

  • Monitor stock levels and maintain essential supplies for smooth estate

operations.

Security and Health & Safety

  • Ensure the security of the estate by managing security personnel, systems and

equipment.

  • Conduct regular fire safety checks including alarms, extinguishers and escape

routes.

Personal Qualities and Skills

  • Strong leadership and team management capabilities.
  • Excellent organisational and problem-solving skills.
  • Proficiency in budget management and procurement processes with strong
  • focus on demonstrating value for money.
  • Excellent communication and interpersonal skills to liaise with leaseholders/
  • residents, staff, contractors, and external stakeholders.
  • In-depth knowledge of Health & Safety regulations and practices.
  • A proactive, hands-on approach to estate management with attention to detail.

Salary: Hourly rate based on a £40k-£60k salary dependent on experience

Hours: Monday to Friday 8am-5pm
