Abbatt Property Recruitment are currently looking for an experienced Estates Manager to oversee a beautiful residential development in West London. Consisting of 188 apartments, the Estates Manager will oversee the day to day operations of the site as well as managing a concierge and cleaner.

This is a temporary opportunity for up to 3 months.

Aswell as having direct experience running a residential site, you will have experience in managing a team and in health and safety procedures

Additional duties will be

Management Support

  1. Assist in developing services to ensure best value and contribute where required to the preparation of development budget.
  1. Assist and support the Board of Directors and Managing Agents, provide such information as required and ensure the Lease and Regulations are always upheld.
  1. Create and implement new procedures as required by site specific circumstances.
  1. Attend meetings with the Asset Leads Committee and Managing Agent and contribute to plans for future improvement.

Operational

  1. Investigate reported building faults, remedy in house where possible or assign to external contractors, subject to property manager approval.
  1. To liaise with Landlords when their Tenants have broken the rules and deal with any nuisance that may affect residents within the Avenue. Where possible, photos or sound recordings should be taken to support any claims.
  • To assist residents with reasonable requests, particularly regarding heating and other plumbing issues and follow-up enquires promptly.
  • Ensure that trade people do not use the passenger lifts for transportation of heavy/large goods and materials.
  • Oversee responses in relation to resident's complaints/enquiries in line with the Managing Agent's procedures. Deal with minor breaches of lease or estate rules and report major breaches to Managing Agents.
  1. Be the liaison between all on site staff and the Managing Agent and Board of Directors.
  1. Assist with the management of any M & E Contractors and on-site Engineers.
  1. Investigate and verify all visits by tradesmen who work within The Avenue and ensure they comply with site rules

Office

  1. To be always staffed, as far as possible, 8.00am - 5.00pm, Monday to Friday.
  2. To receive deliveries on behalf of residents who had previously made arrangements. Facilitate delivery or storage of items where required for set period of time.
  3. To raise orders on property management system for property manager approval.

Administration

  1. Meticulous supervision of estate assistants and contracted workers within The Avenue, organising the staff rota and arranging cover as required.
  1. Document inter-flat insurance claims from start to finish and provide regular update to the Managing Agents.

3 Daily checking of all time sheets of outside contractors to ensure that the records are accurate and that invoices are verified. This would also include the update of all utility bills and providing meter readings where required.

  • Ensure all Estate Office calls by emails, landline and mobile are answered promptly.
  • Provide a monthly Estate Report to Managing Agents

Supervision

  1. Supervision of cleaning, maintaining state of all common parts including supervision of all security matters.
  1. Enable Team Members to take occasional breaks and ensure that there is a constant presence of staff at The Avenue
  1. Ensure that all staff on site are correctly dressed when on duty wearing uniforms or agreed clothing and that their behaviour is appropriate/courteous at all times.
  1. Patrolling the site regularly ensuring that all tasks are complete, and residents and visitors are attended to.
  1. Hold daily team briefings as required and highlight key matters for information to be actioned during the working day.
  1. Provide formal supervision, motivation, direction and support to the staff team.

Daily Inspections

  1. To check daily the general operation of theheating system and hot water and ensure that the temperature is always reasonable.
  1. Daily inspection of all common parts of the development. Replace lamps where required. Ensure all rubbish is removed, fire escapes kept clear and that lifts are always fully functional.

Any Other Duties

To undertake any other duties as directed by the Managing Agent at any time as appropriate. It should also be noted that this Job Description is supported by The Estate Manager Guideline Notes.
