Admissions and Online Courses Officer

The Institute for Arts in Therapy & Education (IATE) is one of London’s most prestigious independent therapy training institutions, with over 30 years of standing. Due to the expansion of our training offer and newly offered suite of online course provision, we are looking for an enthusiastic and motivated full-time Admissions & Online Courses Officer to join our team at our new and exciting location in east London. We offer a range of art therapy and post-graduate clinical trainings in a vibrant and creative setting.

The successful candidate will have responsibility for taking initial enquiries about our courses and converting them into course enrolments. They will ensure they proactively follow up any telephone, email or in-person requests for information and ensure that enquiries are followed up in a timely manner.

The successful candidate will need to be technically adept and able to manage IATE’s new suite of Online Course provision, including the booking and admissions process, as well as the Zoom delivery of these events. All accompanying course enquiries will need to be actively followed up in a professional and timely manner.

The candidate will oversee and co-ordinate IATE’s application and interview days, ensuring their smooth facilitation, and follow up customer enquiries to ensure that recruitment on to courses is appropriately maximised. When students are successfully placed on courses, they will obtain feedback from students, using the data to compile reports for Senior Management. The role will also include accompanying administrative duties relating to data inputting and generic office-based tasks.

Responsibilities:

  • As a key part of our administrative team, collaborate with team members to ensure enquiries translate into course enrolments
  • Respond to course enquiries and ensure maximum take-up of courses in line with IATE targets
  • Update and maintain a bespoke student CRM in relation to enquiries and applications
  • Ensure timely and professional responses to all enquiries, including telephone, email and in-person
  • Manage course bookings for online trainings and co-ordinate online briefing sessions via Zoom
  • Manage Zoom training sessions (Zoom tech support) calmly and effectively and be able to trouble shoot, organise break out rooms, share screen, manage chat, use white board etc
  • Co-ordinate IATE application and interview days, including admissions process and event preparation
  • Provide monthly year-on-year sales/progress comparison reports relating to Admissions/Online Courses
  • Obtain feedback from students and use the data collated to compile reports for Senior Management

Essential Skills:

  • Ability to manage systems used for admissions, course bookings and course delivery, including IATE’s bespoke CRM, Eventbrite and Zoom
  • An ability to understand IATE’s training programmes and course offer and effectively communicate their components to enquirers, over the telephone, email and in-person
  • Have excellent customer service skills and ability to support prospective IATE trainees with course related queries
  • Have outstanding IT literacy, including use of Microsoft 365 
  • Have an excellent phone manner and interpersonal skills
  • Be able to offer in-depth customer service to prospective IATE trainees
  • Demonstrate superb written and verbal communication skills
  • Be able to prioritise a busy workload and work autonomously where required
  • Be a bright and proactive self-starter with an eye for improving systems and processes
  • Be adept at taking on new information and mastering new skills swiftly and independently
  • Enjoy working in a small, supportive team.
