The role of the Operation Office Assistant reports to the Operations ManagerDuties & ResponsibilitiesOperations:

  • Responsible for ensuring constant and timely ordering of Office + Retail Supplies.
  • Responsible for continued improvements in internal workflow optimisation & efficiency.
  • Responsible for organisation of all company documents and systems including the N Drive / Planner / OneNote / Teams.
  • Spend management for supplies and petty cash management.
  • Assisting with projects like store refit, pop ups, events, trade shows as they arise.
  • Responsible for organising team outings, lunches, employee incentives and employee perks.
  • Projects supporting different teams. I.e. stock counts and packaging levels.
  • Maintain packaging levels for all departments, monitoring levels & replenishment.
  • Assisting Merchandising & operations with the movement of stock to various locations.
  • Ad-Hoc office duties

Office Spaces:

  • IT equipment and supplies allocation and updating as required.
  • Employee operational Onboarding / Offboarding.
  • Invoices + Filing Management for the finance department.
  • Inhouse problem solver for any IT challenges, with the support of the IT contractor.
  • Printer equipment management.

Contractors:

  • Day-to-day liaising with our IT support provider for (IT & Phones), helping to solve internal issues as they arise.
  • Monitoring energy services for billing and resource management and ensuring compliance with negotiated contract terms.
  • Ensuring maintenance and organisation of contracts for external partners with MD.
  • Cleaning -co-ordinate the in-house cleaning functions, window cleaners etc.
  • Being the point of contact for reactive repairs, maintenance and liaise with our external contractors to resolve.
  • Alarms, fire and security: Ensuring up-to-date contacts are stored and shared with key internal parties.
  • Have a complete understanding of all CCTV systems, security systems, phone systems, door systems, fire alarm systems, scheduling work and upkeep with contractors as required.

Person Specification Essential Criteria:

  • Minimum of 2 years experience in a facilities management or retail operations role.
  • Minimum of 2 years experience managing projects from inception to completion.
  • Strong systems and IT capability.
  • Ability to problem solve and evolve current systems.
  • Team player, this role will support all teams in the business.
  • Flexible and adaptable to a fast-paced environment.
  • Good financial acumen.
  • Planning and Organising skills.
  • High standards and attention to detail.
  • Self-motivation.
  • Drive.
  • Excellent listening skills.
