Our client is seeking an enthusiastic Admin Assistant to join their Operational Services team within Highway Operations and Street Scene. This is an excellent opportunity for someone who thrives in a dynamic environment and is eager to contribute to essential services.

Key Responsibilities:

As an Admin Assistant, you will play a crucial role in supporting our Highway Operations and the DSO. Your responsibilities will include:

  • Providing technical, administrative, and financial support to ensure smooth operational processes.
  • Utilising IT systems such as ROCC, Confirm, and Integra for efficient data entry and reporting.
  • Reconciling financial data and processing payments to suppliers and contractors accurately and in a timely manner.
  • Managing routine correspondence and inquiries, ensuring that all requests are handled professionally.
  • Generating enforcement letters and notices as required.
  • Assisting with the processing of abandoned vehicles and maintaining related statistics.
  • Supporting income recovery efforts for Highways Operations and the DSO, contributing to the financial health of the organisation.
  • Addressing requests for highway status information promptly and accurately.
  • Handling calls from housing tenants and managing inquiries from the housing department, ensuring excellent customer service.
  • Scheduling appointments for operational tradespeople and collaborating closely with building maintenance supervision teams.
  • Providing additional support to various tasks within the Operational Support Teams, including DSO, finance, and administration, as directed by the DSO Support Supervisor and service managers.

Person Specification:

To be successful in this role, you should possess:

  • Proficiency in designing spreadsheets, maintaining accurate records, and using Microsoft applications effectively.
  • Experience in financial calculations and the ability to communicate effectively both verbally and in writing.
  • Strong organisational skills and the capacity to work independently while managing multiple tasks.
  • A keen eye for detail, enabling you to produce accurate work and generate management reports.
  • Excellent customer service skills and a professional telephone manner, ensuring all interactions are positive and constructive.
