Connect2Luton are excited to recruit a Administrative Assistant on behalf of Luton Borough Council.

Main purpose of position:

Under the direction of the Legal Services Improvement Manager, to personally provide efficient legal, administrative and clerical support to the Head of Legal Services, Principal Solicitors and fee earners, in order to facilitate the effective delivery of the services provided by Legal Services. Undertake a range of copy typing / word processing for the Department at all times ensuring work is accurate and delivered to specified deadlines.

You will be responsible to:

  • Under the overall supervision of the Legal Services Improvement Manager to carry out a wide range of administrative functions to meet agreed timescales and standards.
  • Undertake financial procedures including the processing of invoices for payment ensuring all invoices and counsel fees are paid within a timely manner and coded correctly.
  • Investigate unpaid / duplicate invoices in line with the Council's defined procedures, raise purchase orders on AFP, raise invoices as and when required, pay in cheques to relevant department's budget and complete cheque requisitions.
  • Contribute to the development, testing of subsequent maintenance of Legal Services administrative systems, ensuring that at all times these are kept up to date and hold relevant accurate information - systems could be Management Information systems, spreadsheets, other databases, manual record systems etc.
  • Maintain the Legal Services deeds systems including filing, storage and retrieval of deeds, cross referencing deeds with the Case Management System and indexing deeds, agreements and contracts and entering onto the database.
  • Being the key contact for Bedford Archives with responsibility for ensuring proper archiving of files, document retention in accordance with the council's retention policy and legal obligations and timely retrieval of files from archive in accordance with instructions.

Skills and Experience:

  • Demonstrable experience of working in an office environment
  • Demonstrable knowledge and experience of word processing and typing, spreadsheets such as Word & Excel to produce competent reports/spreadsheets
  • Demonstrable Communication Skills
  • Able to deal with queries from the public in a sensitive, tactful manner ensuring Council policy and statute are adhered to
  • Able to work on own or as part of a team
  • Accurate data entry and word processing skills, able to gather data and accurately record and maintain manual and computerised information systems
  • Ability to understand and follow financial processes and procedures
  • GCSE or equivalent experience
