JOB TITLE: Tenders and Contracts Administrator
Contract length: 12 monthsWorking Hours: 37.5 hours per weekShift: Mon-Fri standard working hoursLocation: Maidenhead, SL6 4XE
Payrate: £30,000 per annum
MAIN PURPOSE OF JOB
To provide, database and administrative support to the Tenders & Contracts and Sales functions whilst ensuring all business processes are adhered to.
ACCOUNTABILITIES
- To administer the quotation and service contracts process, ensuring that documents are collated and sent to the relevant people whilst ensuring deadlines are met and the information provided is accurate
- To ensure that all applicable databases are updated in real time appropriately and that all prices sent to customers have been approved by the appropriate person as per the pricing policy.
- To ensure there is an accurate picture of service contracts expiring at any one time and those that have already been quoted for and or accepted
- To keep the inbox updated at all times, duplicate e-mails removed, Management made aware of key items and other tasks colour coordinated as agreed. All relevant e-mails to be retained and filed in the manner agreed with the department management which may be updated from time to time.
- Regional role, represents Vascular in interactions with customers via e-mail and telephone and other internal stakeholders
GENERAL ACCOUNTABI LITIES
- Supporting the Tenders and Contracts Manager in general as requested
- Supporting in the preparations of tenders as requested
- Informing Management of process and system issues and following them up to come to a resolution
- To ensure that all tender documents received are collated and sent out appropriately within the required deadlines.
- To ensure that all quotation and Service contract documents are completed accurately and submitted within the required deadline.
- To ensure that all price/contract proposals are approved in the appropriate manner.
- To ensure that all product price changes are updated into the system(s) accurately and in accordance with company procedures.
- To maintain the tender calendar and ensure that this is distributed appropriately.
- To maintain the contracts database as tenders are submitted, extended and where awards are made.
- To comply with the company's policies and procedures to meet statutory, quality and business requirements within the overall strategy and objectives of Medical Ltd.
- Responsible for health, safety and environmental performance of themselves and others through compliance within EHS programs, regulations and standards. Subject to the policy and procedures outlined in the EHS Handbook.
BACKGROUND
- Preferred previous experience in a Tenders &Contracts
- Excellent systems skills and appreciation - Cognos and SAP data warehouse preferred.
- Excellent knowledge of Microsoft Excel and Word
- Good analytical skills as well as solid math's and literacy skills
- Confident communication
- Ability to work well within tight
