Purchase Ledger Assistant

We are excited to offer an opportunity for a dedicated Purchase Ledger Assistant to join our finance team. This role is pivotal in maintaining excellent relationships with both suppliers and customers, ensuring efficient operations that meet our customer demands.

Day-to-day of the role:

  • Invoice Processing: Handle all purchase ledger invoices in a timely manner, adhering to company policies regarding authorisation, approval procedures, and payment terms. Ensure accurate cost allocation to the correct group entity.
  • Payment Runs: Manage all supplier payment runs, utilising a full suite of payment options to minimise bank charges and maximise cash flow. Maintain constant communication with the Treasury Controller to ensure accurate cash flow predictions.
  • Supplier Statements: Receive and reconcile all supplier statements against invoices processed, resolving any discrepancies to maintain positive relationships with all active suppliers.
  • Record Keeping: Maintain rigorous standards in paperwork management including date stamping, signing, and regular filing. Implement a systematic archiving process to keep the office organised and ensure easy access to recent documents.
  • Support and Liaison: Assist the Purchase Ledger Controller with various tasks including sister company invoicing, document collection for archives, and administrative support. This includes data collation, report generation from the Prophet system, and preparation of audit files.

Required Skills & Qualifications:

  • Experience in a purchase ledger or similar financial role.
  • Strong organisational skills and meticulous attention to detail.
  • Excellent communication skills and the ability to collaborate effectively within a team.
  • Proficiency in financial software and systems; experience with the Prophet system is a plus.
  • A proactive approach to problem-solving and capable of managing multiple tasks simultaneously.
