Clerical Officer

We are seeking a dedicated Clerical Officer to join the Business Support Services at a Local Authority. This role is crucial for providing clerical, computer, and typing services to the unit, assisting in the administration work as required.

Day-to-day of the role:
  • Prepare and input data into the computer, ensuring accuracy.
  • Produce reports by interrogating the computer system using Lotus Smartsuite/Microsoft Office and the unit’s software.
  • Perform routine maintenance, system switching, and assist in file recovery during system failures.
  • Report any system errors or faults immediately to the Administration Manager.
  • Assist in training new staff on the computer system.
  • Provide typing and word processing support as necessary.
  • Type documents such as letters, reports, and memoranda. In case of system failure, type purchase orders.
  • Input and record stock movements and produce various reports.
  • Validate and assist in the reconciliation of stock records post-stock checks as instructed.
  • Handle telephone calls, address queries, provide information or redirect calls to appropriate staff. Take messages as required.
  • Assist in sorting and distributing mail, maintaining filing systems, photocopying documents, and receiving visitors.
  • Comply with health and safety policies, equality legislation, and data protection standards.
  • Participate in development reviews and manage staff development if applicable.
Required Skills & Qualifications:
  • Proficiency in Lotus Smartsuite and Microsoft Office.
  • Experience in clerical roles within a similar environment.
  • Strong organizational and communication skills.
  • Ability to handle confidential information responsibly.
  • Knowledge of data input and report generation.
