Vertical Recruitment is working closely with a renowned Building Services Consultancy.  Our client is a leading firm in the field of mechanical and electrical design solutions, providing innovative and sustainable solutions in the sports and entertainment sector, working on high profile large scale projects within the UK and globally.  They pride themselves on a commitment to excellence, teamwork, and client satisfaction. As a Document Controller you will play a crucial role in ensuring the smooth flow of information and documentation within the organization.

As a Document Controller, you will be responsible for managing and organizing all project-related documentation for the building services engineering consultancy. Your primary objective will be to maintain a systematic and efficient document control system, ensuring that all project documents are accurate, up-to-date, and readily accessible to authorized team members and external partners.

Key Responsibilities:

  1. Document Management:
    • Receive, log, and organize incoming and outgoing project documents, including drawings, specifications, reports, and correspondence.
    • Maintain an organized electronic and physical filing system for easy retrieval of documents.
  2. Version Control:
    • Ensure that all project documents are properly version-controlled to prevent errors and discrepancies.
    • Keep track of revisions and updates, maintaining a clear record of document history.
  3. Distribution and Retrieval:
    • Distribute documents to the relevant project team members and external partners in a timely manner.
    • Facilitate document retrieval requests and maintain a tracking system.
  4. Quality Assurance:
    • Review documents for accuracy, completeness, and compliance with company standards and project requirements.
    • Coordinate with project managers and engineers to resolve any discrepancies or issues with documents.
  5. Data Security:
    • Implement and enforce security measures to protect sensitive and confidential information.
    • Ensure that access to project documents is restricted to authorized personnel only.
  6. Documentation Workflow:
    • Streamline the documentation workflow by identifying opportunities for process improvement.
    • Collaborate with project teams to develop efficient document control procedures.
  7. Reporting:
    • Generate regular reports on document control activities, including document status, distribution, and any outstanding issues.

Qualifications:

  • Previous experience in document control, preferably in the construction or engineering industry.
  • Proficiency in document management software and tools.
  • Strong attention to detail and organizational skills.
