Executive Assistant to CEO - Leisure/Entertainment

Location: Manchester (Mainly office-based)

Katie Bard are seeking an exceptional Executive Assistant to support their high-energy CEO in the fast-paced leisure/retail sector. This full 360-degree role requires a detail-oriented professional who can keep pace with a relentless schedule.

In this role, you will be responsible for:

  • Managing a complex, ever-changing calendar, prioritising and scheduling meetings while juggling conflicting priorities.
  • Arranging domestic and international travel, often dealing with intricate itineraries.
  • Meeting management will be a key part of your duties, including preparing agendas, presentations, and supporting documents.
  • You will take detailed notes, distribute action points promptly, and coordinate logistics for both on-site and off-site meetings, including venue booking and catering.
  • As the first point of contact for high-level stakeholders and investors, you will manage communication flow between the CEO and board members.
  • Assisting in preparing investor presentations and reports, and coordinate shareholder meetings and annual general meetings.
  • Your administrative support will include handling confidential correspondence and documents, managing filing systems (both digital and physical), and processing expenses and budgets as required.
  • Extensive client entertaining and VIP events for international clients

Project coordination will be an important aspect of your role. You will assist in tracking key company initiatives and projects, prepare and distribute progress reports, and liaise with department heads to gather information for the CEO. Additionally, you'll be expected to conduct research and prepare briefing notes on various topics, assist with personal errands and tasks as needed, and provide out-of-hours support for urgent matters.

The ideal candidate will be an experienced Board Level PA/EA who has worked in a similar sector. Flexibility is key as the role will require out of hours work and is mainly office based. You will be highly organised, discreet, and able to work autonomously in a fast-paced environment. You should be comfortable with technology, adept at managing multiple communication channels, and able to build strong relationships at all levels of the organisation.
