If so, we would love to hear from you!The duties and responsibilities of the Personal Assistant:Diary Management & Scheduling:* Use a digital calendar to keep track of the Institute Director's appointments and deadlines.* Set reminders for important meetings and tasks.* Prioritize tasks based on urgency and importance.Travel Arrangements:* Use travel management software to book flights, accommodations, and transportation.* Keep a checklist of travel preferences and requirements for the Institute Director.* Ensure all travel documents are up-to-date and accessible.Meeting Organization:* Prepare agendas and distribute them in advance.* Ensure all necessary materials and equipment are ready for the meeting.* Follow up on action items after the meeting.Information & Guidance:* Stay updated on general operational processes and policies.* Be approachable and ready to assist colleagues and stakeholders with their queries.Administrative Support:* Maintain accurate and up-to-date records in compliance with data protection laws.* Generate reports as needed to support Institute activities.* Assist with the preparation of academic promotions and probation documentation.Office Procedures & Systems:* Regularly review and update office procedures to ensure efficiency.* Keep detailed records of staff, contacts, and events.* Evaluate and monitor office processes to identify areas for improvement.Meeting Services:* Take detailed minutes during meetings and distribute them promptly.* Arrange catering and other logistics for meetings.If you wish to be considered then please APPLY NOW, for
