We are seeking an organized and proactive Office and Facility Coordinator to ensure the smooth and efficient operation of our office and facility. This is a truly multi-faceted role, with the primary aim of enabling the workplace to run seamlessly for all employees and guests while managing relationships with a wide range of internal and external stakeholders.

Key Responsibilities:

  • Ensure the office and facility are maintained to the highest standards in line with company policies and procedures.
  • Assist resource managers and team leaders in ensuring adherence to relevant policies and procedures.
  • Oversee the availability of correct IT and information management systems for the team.
  • Lead and deliver the induction process for new employees, serving as the primary contact for general team queries.
  • Provide calendar and diary management support for the leadership and management teams.
  • Coordinate and manage schedules, meetings, and appointments as needed.
  • Arrange travel and accommodation for staff, ensuring all details are managed efficiently.
  • Communicate effectively with clients, colleagues, and other executive assistants to ensure seamless collaboration.
  • Organize and greet visitors and clients, ensuring a welcoming and professional experience.
  • Attend meetings, take minutes, and track action items to ensure follow-up.
  • Assist in planning and coordinating conferences, dinners, social events, and group travel.
  • Support administrative processes related to staff interviewing and hiring.
  • Manage the creation and submission of expense reports and claims.
  • Oversee timesheet reporting processes.
  • Provide general administrative and office support to the wider team as needed.
