Role Purpose:

The Property Co-Ordinator is responsible for managing the administration of building repair and maintenance work while assisting in the development and upkeep of a comprehensive property management database. The role requires strong organisational and communication skills to ensure effective coordination between tenants, contractors, and case handlers within the insolvency business.

Main Duties and Key Responsibilities:
  • Maintain accurate records of maintenance history and ensure all cyclical maintenance jobs are scheduled and updated.

  • Co-ordinate and schedule appointments for day-to-day and cyclical maintenance works, liaising with approved contractors.

  • Act as the first point of contact for tenants reporting maintenance or repair issues via phone, email, or direct communication, and liaise with case handlers to resolve issues efficiently.

  • Monitor contractors’ and, where applicable, tenants’ insurance policies to ensure compliance with company and regulatory requirements.

  • Assist the Head of Property Management in maintaining a structured and up-to-date property database, consolidating all relevant documentation for each property.

  • Ensure adherence to Data Protection (GDPR) legislation and Health & Safety requirements in all aspects of the role.

  • Attend relevant training courses and support colleagues in enhancing team knowledge and skills where appropriate.

  • Handle general property-related inquiries, including written, phone, and email communications, in collaboration with other team members.
