Administrative Assistant
- To assist the FA in the provision of secretarial services to the Director, Named Veterinary Surgeon, Deputy Director and senior staff, including maintenance of diaries, arranging meetings, etc.
- To assist the FA in the preparation of accounts in line with our cost recovery model using the ARMIS management system, Hyperdata and Oracle software.
- Maintaining several filing systems (hard copy and electronic) for purchase orders/invoices, training/health surveillance certificates, breeding records, archive documents, etc.
- Processing of orders and invoices.
- Maintenance of sickness, holiday and training records for all BSF staff.
- Production and maintenance of stock documents (breeding/stock/cage cards, labels, various log sheets).
- To respond to enquiries via telephone, email and personal visitors to the department, to act as receptionist and first line filter for maintaining a safe and secure environment by checking credentials of visitors before allowing entry.
- To be aware of the need to check the mail for suspicious packages.
PA Duties:
- Maintain and coordinate FD day-to-day meetings, appointments and travel schedules
- Coordinate domestic and international travel arrangements, including flight bookings, hotel accommodation and ground transportation in line with budget allocation for FD
- Reconcile and process travel expenses and reimbursements for FD
- Prepare presentations, materials and documentation for use in meetings and engagements.
- Take minutes for the Senior Management Team meeting and Ad hoc meetings.
Essential Knowledge, Skills and Experience:
- Ability to use the Oracle Finance system, local accounting packages (ARMIS and Hyperdata) for processing internal orders and invoices and the ability to use software packages such as Word, Excel, PowerPoint and ASPEL (the Home Office electronic licensing system).
- Fast and accurate transfer of data particularly with regard to the statutory and ethical requirements, where failure could lead to prosecution.
- Ability to liaise effectively with a wide range of contacts, both orally and in written form.
- Ability to manage and prioritise own workload independently.
- Understand and respect the need for absolute confidentiality.
- Be supportive of the role of animals in the Universitys research.
