Operations Support Administrator

8 Week Fixed Term Contract | £25-27k DOE | Mon-Fri 9-5 (8-4 considered) | Manningtree | Office Based | Administrative Support | Friendly, Enjoyable Team

The opportunity has arisen to join the Operations Support Team for an 8 week fixed term contract. The team are responsible for providing support to the Operational Solutions and wider business teams, ensuring end to end administrative provision, administering governance systems to ensure that the Company is fully compliant across a range of processes, maintaining reporting systems and associated documentation, providing seamless administrative support in relation to operational activities, including but not limited to unit deployment and cyclical audits. This role will involve cross functional support between the Manningtree and Gloucester offices.

Duties (to include but are not limited to):

  • Collate data from various weekly and monthly reports and/or audits, ensuring audit matrices are updated as appropriate, records are saved systematically, and reports generated as required.
  • Prepare purchase and work orders, and allocate accordingly to Engineers and Suppliers, ensuring all maintenance is carried out by Suppliers and Maintenance Engineers to schedule, and providing timely updates to Clinical Staff/Clinical Service Managers as required.
  • Regular review of open work orders, chase outstanding paperwork and ensure WOs closed in a timely manner
  • Review reports for completeness, raise additional remedial work orders as necessary.
  • All calibrated machines are maintained, logged and information/certificates collated and controlled both in Satellite offices and on units/live contracts.
  • Support in all areas of business administration, collaborating with colleagues to improve and modernise processes and procedures.
  • Be first point of contact for inbound calls to the office, dealing effectively and efficiently with each interaction.
  • Book and arrange couriers both nationally and internationally.
  • Comply with the Data Protection Policy and new legislation for GDPR.

Person Specification:

  • Have good interpersonal and strong written and oral communication skills.
  • Can build good relationships with all levels of staff in all departments, to provide an excellent level of service, including Customers and Suppliers.
  • The ability to remain calm, positive and effective under pressure.
  • Excellent computer skills with experience of managing data bases, and strong Word and Excel skills.
  • Willing and able to learn in house IT systems.
  • An enquiring/inquisitive nature, and ability to dig deeper into requests to gain understanding.
  • Organised and able to prioritise, and have excellent time management skills, with a high level of attention to detail.
  • Pro-active, self-motivated and experienced in managing multiple priorities.
  • Ability to work pro-actively and without regular supervision.
  • Flexible approach to work.
