We are looking for a methodical, organised, customer focused and experienced Administrator with excellent attention to detail to join our client, a well established charity (with over 2500 members) based in the heart of Marlow.

In this busy and rewarding role, the successful candidate will be providing support to the Membership, Education and Events teams and will have experience using a membership and/or CRM database.

The role is full time Monday to Friday 9am - 5pm, office based. 25 days holiday.

Duties include

  • Maintain, update and manage the membership Excel database with accuracy, ensuring data integrity checking at regular intervals
  • Manage the membership mailbox, dealing with email and telephone enquiries relating to membership
  • Facilitate the annual renewal program which takes place in December through to February and confirming receipts of payments
  • Add new direct debits ad hoc and reconcile all payments with the membership database
  • Complete the annual direct debit process
  • Produce welcome letters and journal back copy letters for posting recording the number of books in the book management spreadsheet
  • Oversee membership payment matters including fees, payment processing and invoicing
  • Ensure the website is up to date with all the membership details, including how to join, benefits, costs etc
  • Send out members bulletins and training bulletins, as appropriate.
  • Extract data to send to publishers for the quarterly journal
  • To create delegate badges and attendance records for the Conference
  • To assist the Conference and events manager at the Annual Conference
  • Manage administrative tasks within the learning management system including providing staff access, creating discount codes, re-issuing certificates and quality assurance
  • Maintain marketing information and updating mailing lists
  • Answering online conference access queries
  • Zoom - set up meetings and webinars. Provide support during a live event by monitoring and replying to email and telephone queries
  • Support the Membership and Education team with ad hoc projects and tasks

Skills/Experience

  • Experience in a busy administration role
  • Prior experience in using membership and/or CRM database essential
  • Financial acumen and excellent attention to detail
  • Experience in a customer environment with excellent communication skills across all mediums
  • Excellent PC skills including Microsoft Office, in particular Excel (inc pivot tables) and Mail Merge
  • Self-starter with the ability to work under minimal supervision
  • Highly motivated, conscientious showing attention to detail in all areas
  • A 'can do' attitude is of key importance
