THE OPPORTUNITY: Macildowie are currently recruiting for an Events Planner working for a business based in Kingston Milton Keynes. The Event Planner will produce events from conception through to completion. Event Coordinator responsibilities include providing outstanding customer service and organising memorable events that meet quality expectations. In addition they will be responsible for coordinating large trade show selling events where our machinery is seen working on exhibition stands. This is a permanent fully office based role with full time hours THE ROLE & YOUR RESPONSIBILITIES: Plan, organise, and coordinate all aspects of company events, including logistics, vendors, and catering. Events include a mixture of training events, celebrations, conferences, shows and sales events throughout the year. Collaborate with internal stakeholders to determine event goals, objectives, and target audience. Manage event budgets and work within set financial parameters to ensure cost-effective planning. Identify, communicate and negotiate with vendors to secure the best pricing and ensure high-quality services that meet the company's requirements. Provide feedback and periodic reports to stakeholders. Propose ideas to improve provided services and event quality. Research the market to identify event opportunities and generate interest. Preparing for shows, open days and working events. Develop event concepts and themes that align with the company's brand and objectives. Organise facilities and manage all event's details such as decor, catering, entertainment, transportation, accommodation, location, invitee list, special guests, equipment, promotional material etc. Ensure compliance with insurance, legal, health and safety obligations. Specify staff requirements and coordinate their activities. Cooperate with relevant departments to promote and publicise event. Proactively handle any arising issues and troubleshoot any emerging problems on the event day to ensure the seamless running of events. Evaluate the success of events through post-event analysis and feedback surveys. Coordinate event marketing and promotional activities, including invitations, online campaigns, and social media promotion. Oversee event registration, attendee management, and on-site event operations. Monitor event timelines and schedules to ensure smooth execution and timely completion of tasks. Is proud to represent our brand and culture, and promotes our values at all times. Ensures that the best interests of the business are upheld at all times. Represent the business in a professional way via appearance, knowledge and attitude. Working to tight deadlines to ensure a professional customer experience every time. EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE: Proven experience as an Event Planner or similar role. Bachelor's degree in Event Management, Hospitality, or a related field. Impressive portfolio of previously managed events (weddings, meetings, parties, trade shows, corporate events). Willing to submit references from previous clients. Strong organisational and project management skills. Exceptional attention to detail and ability to multitask in a fast-paced environment. Excellent time management and skills. Excellent communication and interpersonal skills. Proficient in event planning and management software. Ability to work under pressure and meet tight deadlines. Flexibility to work evenings and weekends, as required. Knowledge of food industry trends and regulations is a plus. Ability to travel to event locations, as necessary. Sales skills and ability to build productive business relationships. Ability to manage multiple projects independently. MS Office proficiency. Analytical problem solving skills. Strong customer service skills and an approachable, friendly manner. Excellent team player. Positive attitude. Occasional overseas travel is required.
