Position Summary:

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to our senior leadership team during a maternity leave period. The ideal candidate will be a detail-oriented professional with exceptional communication and multitasking skills, capable of managing a diverse range of administrative tasks with efficiency and confidentiality. Due to the urgency of the position, we are looking for someone immediately available.

Key Responsibilities:

  • Provide high-level administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle confidential information with discretion and maintain the highest level of professionalism.
  • Coordinate and organise internal and external events, meetings, and conferences.
  • Assist with project management tasks, ensuring timely completion of deliverables.
  • Liaise with internal and external stakeholders, fostering positive relationships.
  • Conduct research and compile data to support decision-making processes.
  • Manage and prioritise incoming communications, including emails and phone calls.
  • Perform other administrative duties as assigned to ensure smooth office operations.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organisational and time management skills with the ability to multitask and prioritise effectively.
  • Outstanding written and verbal communication skills.
  • High degree of discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving abilities.
  • Flexibility and adaptability to changing priorities and deadlines.
