Your new companyHays is working with a leading healthcare organisation looking for a reception/administrator to join their dynamic and friendly team.Your new roleYou will be the first point of contact for visitors. Your responsibilities will include:

  • Greeting and welcoming customers, supporting their journey throughout the centre, and ensuring a thorough checkout.
  • Answering, screening, and forwarding incoming customer queries via phone calls, and proactively managing the local mailbox and emails.
  • Proactively maintaining a well-presented reception and waiting areas.
  • Ensuring customer reports are dispatched from centres within the desired time frame, including effective management of abnormal results.
  • Ensuring all customer details are correct, customers are arrived, appointments booked, changed, and rescheduled on EXACT/BOSS/Meddbase.
  • Processing payments, invoices, added charges, and credit notes upon customer departure.
  • Organising yourself to ensure a quick turnaround of documents, working in date order and prioritising to meet deadlines.
  • Handling post - collecting, opening, date stamping, distributing incoming post, and posting outgoing post.
  • Generating letters as required by the business.
  • Monitoring stocks and ordering goods when required.
  • Playing an active part in ensuring well-presented facilities through pro-activity and effective escalation as and when required.
  • This role requires shift work, including one Saturday a month.

What you'll need to succeedTo be successful in this role, you should have excellent communication and organisational skills, a friendly and professional demeanour, and the ability to multitask in a fast-paced environment. Previous experience in a similar role and proficiency with office software are highly desirable.What you'll get in return
